Presentation Guidelines

Posters

  • We encourage all poster presenters to hang their posters on Sunday evening during the opening reception. Posters will be available for viewing during the entire conference.
  • Authors should be present at their posters during the poster session from 3:30pm to 5:30pm on Monday.
  • A space of 8 feet wide by 4 feet high (96 inches x 48 inches) is available for each poster. Scientific posters are typically smaller than this size (e.g. 56 inches x 42 inches) so there will be space between adjacent posters.
  • There will be no audio-visual capability or power available in the poster presentation area.
  • Push-pins will be provided.
  • Presenting authors should be at their poster and available for discussion during the assigned poster sessions.

Oral Presentations

  • If you are speaking in one of the Monday morning breakout sessions you should be aware that there may be very little time between the general session and the breakout sessions. We strongly enccourage people in these sessions to bring their presentation to the appropriate breakout room during the breakfast period from 7:30am to 8:00am.
  • If you are speaking on Monday afternoon, plan to bring your presentation to the appropriate breakout room at the begining of the lunch period from 12:00pm to 12:30pm.
  • If you are speaking on Tuesday morning, plan to bring your presentation to the appropriate breakout room at the beginning of the poster session on Monday afternoon (3:30pm). If that is not possible, you must deliver your presentation during the breakfast period on Tuesday (7:30am).
  • If you plan to use your own laptop or have other special requirements, you should notify the IT staff during the registration process.
  • Oral presentations will be 20 minutes in duration (15 minute talk and 5 minute question period).
  • Digital display capabilities will be available. Each room will be equipped with a projector and a PC computer with Microsoft PowerPoint. In addition, a VGA cable will be available at the podium for speakers wishing to use their own laptop. Speakers who do intend to use their own laptop must supply a power adapter and any display adapters required to interface the laptop with a standard VGA cable. To avoid delays between presentations, we strongly encourage speakers to use the supplied equipment rather than their own laptop.
  • Presentations should be checked on a PC computer prior to the conference to ensure that all images and video clips display correctly. Embedded video clips can be particularly problematic when a transporting a presentation, care should be taken when linking such objects.
  • In order to ensure the seamless progression of talks within each session, our technical staff will need to have all presentations and laptops ready before the session begins. Presentations must be submitted to our technical staff no later than 30 minutes before the beginning of each session. Bring your presenation on a USB drive to the technician in your assigned session room. Persons wishing to project from their own laptop computer must bring it to the meeting room at least 30 minutes before the beginning of the session in which they will be speaking.
